Search
There are two main ways to conduct a search in the Control Panel:
- Basic search bar: Provides a quick way to search for a limited set of parameters
- Advanced search options: Offer more robust search capabilities for a wider range of results, plus filters to narrow down what you're looking for
Basic search bar
The basic search bar is located in the upper right corner of the Control Panel, and can be used to quickly locate specific transactions and vault records. You can search using the following parameters:
- Customer
- Customer first name
- Customer last name
- Customer email address (excluding PayPal Account Payer Email)
- Payment method
- Token
- Credit card
- The last 4 digits
- The first 6 digits
- Both values with a space in between (e.g. 123456 4321)
- Cardholder name
- Transaction
- Full transaction ID
- Order ID (if applicable)
- Custom field value*
*Custom field API and display names can't be searched – only the value that is passed with the transaction.
Advanced search options
Our advanced search options are more robust, and allow you to pull custom reporting on your processing and Vault records. There are four advanced search options that can be performed in Control Panel:
Transactions
Transaction search is a quick way to find your transaction history for a specific:
- Date range
- Transaction type
- Transaction status
- Payment method type
- Gateway user*
- PayPal account email
- And more!
*If you’re searching for transactions created by gateway user, subscriptions will not be included in the results.
Because of its flexibility, and the ability to download results as a CSV file, many merchants use this search to create custom reporting.
To perform an advanced transaction search:
- Log into the Control Panel
- Click on Transactions in the navigation bar
- Scroll to the Transaction Search section
- Define your desired parameters and click the Search button
Verifications
If you process card verifications, you can narrow down a verification search by:
- Merchant account
- Card type
- Transaction status
- Customer ID
- And more!
Each search is limited to 40,000 records. If your verification results exceed this limit, you'll be prompted to narrow your search criteria.
To perform an advanced verification search:
- Log into the Control Panel
- Click on Vault in the navigation bar
- Click the Verifications tab
- Define your desired parameters and click the Search button
Learn more about enabling and using card verifications.
Vault
If you utilize our Vault, you can locate specific customer records to view each one’s activity. You can search by:
- Address information
- Customer information
- Payment method type
- Specific date ranges
To perform an advanced Vault search:
- Log into the Control Panel
- Click on Vault in the navigation bar
- Scroll to the Customer Search section
- Define your desired parameters and click the Search button
Vault search allows you to see the last 10 transactions performed with a customer's record. If you want to download or view details for all of the activity associated with a particular customer, we recommend using the transaction search instead.
Subscriptions
Subscription search gives you a good overview of your subscription activity, and can be filtered by attributes such as plan or subscription status.
You can see the history of an individual subscription by clicking on the Subscription ID in your search results.
To perform an advanced subscription search:
- Log into the Control Panel
- Click on Subscriptions in the navigation bar
- Define your desired parameters and click the Search button
Downloading results
If you want to view the details of multiple variables at once, you can click the Download button at the top of the search results page to download a CSV file of your results.
You can only download a limited number of records for each search you conduct in the Control Panel. Transaction search is limited to 500,000, and subscription, Vault, and verification searches are limited to 40,000 records. If your results exceed these limits, you'll need to narrow down your search criteria.
In most cases, after you download a report, you will be redirected to the Downloads section of the Control Panel. Your download history will be available in this section for at least 24 hours. This section can be accessed at any time by clicking Downloads in the top navigation.
